Wedding Administrative assistant

full-Time POSITION

Purpose: 

To manage a la carte program, rental program and to assist the wedding manager with client tracking, communication and event preparation.

Essential Functions:

  • A La Carte Program Management (40%)

    Manages A La Carte Clients from initial order through final flower order

    • Intake of each new A La Carte order. Adds order to client tracking system

    • Point of contact for existing A La Carte client questions

    • Coordinates with flower buyer to ensure orders are being placed on time

    • Ensures any changes are documented and communicated with designer

    • Tracks A La Carte container inventory and places container orders as necessary

  • Custom Wedding Client Management (40%)

    • Intake of each new Custom wedding into client tracking system

    • Oversees client payment schedules and ensures that payments are received on time

    • Point of contact for any client proposals changes/adjustments from June-September

    • Assists with wedding floral orders, ensures correct product is received and follows through with any floral adjustments/changes

  • Wedding Rentals (10%)

    Manages wedding rental inventory

    • Ensures wedding rental inventory document is kept up to date

    • Pulls and cleans rentals the week before an event

    • Coordinates with strike team to ensure correct rentals are returned

  • Week Of - Wedding Prep (10%)

    Assists wedding manager with wedding preparation leading up to the event

    • Pulls wedding rentals

    • Pulls wedding supplies

    • Preps containers

    • Pulls florals based on specific recipe

    • Packs supplies 3 days prior

Requirements:

  • Proficiency in excel and google drive

  • Experience in an administrative position

  • Attention to detail

  • Time management

  • Project management

  • No floral experience required
